Return and Refund Policy - VF Smart Trade LLC

Thank you for shopping with VF Smart Trade LLC ("we", "us", or "our"). We aim to ensure your complete satisfaction with every purchase. This Return and Refund Policy outlines the terms and conditions for returning products purchased from our Shopify store (the "Store") and requesting refunds or exchanges. By making a purchase from our Store, you agree to comply with the terms set forth below.
1. Eligibility for Returns
To be eligible for a return, exchange, or refund, the following conditions must be met:

The return request must be initiated within30 days from the date of delivery (as confirmed by the shipping carrier’s delivery confirmation). Returns initiated after 30 days will not be accepted.

The product must be in its original condition: unworn, unwashed, unused, with all original tags, labels, and packaging intact. Products showing signs of wear, damage, or alteration will not be eligible for return.

You must provide a valid proof of purchase, such as your order number, email address associated with the order, or receipt.
2. Non-Returnable Items
The following items are non-returnable and non-refundable, unless they arrive damaged or defective:

Final sale items (clearly marked as "Final Sale" on the product page).

Intimate apparel, swimwear, or hygiene products (unless unopened and in their original, sealed packaging) for health and safety reasons.

Custom-made or personalized products (unless the customization is incorrect or the product is defective).

Digital products, gift cards, or downloadable items.
3. How to Initiate a Return
To initiate a return, please follow these steps:

Contact our customer support team at support@vfsmarttradellc.com within 30 days of delivery. Please include your order number, the product name(s) you wish to return, and a brief reason for the return (e.g., damaged, incorrect size, changed mind).

Our team will review your request and, if approved, send you a return authorization (RA) number and detailed return instructions, including the return shipping address.

Package the eligible product(s) securely, include the RA number inside the package, and ship the item(s) back to us using a trackable shipping method. We recommend insuring the package, as we are not responsible for lost or damaged returns during transit.

You are responsible for covering the return shipping costs, unless the return is due to our error (e.g., wrong product shipped, defective item) or the product arrived damaged. In such cases, we will provide a prepaid return label or reimburse you for the return shipping costs upon receipt and verification of the item(s).
4. Refund Process
Once we receive and inspect your returned item(s) (typically within 3-5 business days of delivery to our warehouse), we will process your refund as follows:

If the item(s) meet the return eligibility criteria, we will issue a refund to your original payment method (e.g., credit card, PayPal) within 7-10 business days. Please note that it may take an additional 3-5 business days for the refund to reflect in your account, depending on your bank or payment provider’s processing times.

Refunds will be issued for the full purchase price of the item(s), minus any shipping costs (unless the return is due to our error). Original shipping costs are non-refundable, except in cases where we shipped the wrong item or the product was defective.

If the returned item(s) do not meet the eligibility criteria (e.g., damaged, worn, missing tags), we will contact you to inform you that the return is rejected, and we may ship the item(s) back to you at your expense.
5. Exchange Process
If you wish to exchange an eligible item for a different size, color, or product (subject to availability), please follow the return initiation steps above and specify "Exchange" in your request. Once we receive and inspect your returned item:

We will process the exchange and ship the new item(s) to you at no additional shipping cost (within the United States). If the new item has a higher price than the returned item, you will be responsible for paying the difference. If the new item has a lower price, we will issue a refund for the difference to your original payment method.

Exchange requests are subject to product availability. If the requested item is out of stock, we will notify you and offer a full refund instead.
6. Damaged, Defective, or Incorrect Items
If you receive a product that is damaged, defective, or incorrect (e.g., wrong size, wrong product), please contact our customer support team within 7 days of delivery. Provide your order number and clear photos/videos of the damage, defect, or incorrect item. We will:

Arrange for a free return and send you a replacement item (if available), or

Issue a full refund (including original shipping costs) to your original payment method, with no need for you to return the damaged/defective/incorrect item (in some cases).
7. Return Shipping Responsibility
Unless the return is due to our error, you are solely responsible for the return shipping costs and any risks associated with shipping the item back to us. We recommend using a trackable shipping service, as we cannot process refunds or exchanges for lost or undelivered returns. VF Smart Trade LLC is not liable for items lost or damaged during return transit.
8. Cancellations
If you wish to cancel an order, please contact us immediately at support@vfsmarttradellc.com. Orders that have not yet been shipped can be canceled for a full refund. Once an order has been shipped, you will need to follow the return process outlined above to request a refund.
9. Legal Compliance
VF Smart Trade LLC complies with all applicable U.S. federal and state laws regarding returns and refunds. While there is no universal federal law mandating returns, we adhere to regulations requiring clear disclosure of return policies and obligations to refund or exchange defective products.
